The society security checklist committees keep asking for
Security is mostly procedure and record-keeping. Both can be checked in an afternoon.
The gate
- One entrance is controlled at all times; secondary gates are locked or staffed.
- Every visitor is logged with name, flat and time, and an exit is recorded.
- Delivery riders follow a defined route or stop at a defined point.
- The guard has a working phone and a printed emergency contact list.
- Night lighting covers the gate, the approach road and the parking entrance.
Staff
- Identity and address verified for every guard, housekeeper and driver.
- Police verification completed where the law or the contract requires it.
- A current staff list with photographs held by the committee.
- Shift rosters posted, with a named supervisor for each shift.
Records
- Visitor log retained for a defined period and readable after the fact.
- CCTV footage retention stated in the AMC, typically thirty days or more.
- Incident register with date, time, description and action taken.
- A single named committee member accountable for security, not a group chat.
The emergency drill
Once a quarter, walk the exits, test the fire alarm, check that the gate can be opened without power, and confirm the ambulance can reach each block. A plan nobody has walked is a document, not a plan.
Questions people ask
How long should visitor records be kept?
Set a period with your lawyer — often three to twelve months depending on local requirements and the society's own policy. What matters is that it is defined and enforced.
Is police verification mandatory for all staff?
Requirements vary by state and by contract. It is standard good practice for guards, and increasingly requested for domestic staff working inside the building.
